Front Office Coordinator / Operations Assistant

Description:

Our client , a top private real estate investment firm based in Los Angeles is seeking a sharp and proactive Receptionist/Operations Assistant to support daily office functions and help coordinate real estate operations. This role is ideal for someone who thrives in a fast-paced environment, enjoys a mix of administrative and project-based work, and brings precision, polish, and a strong sense of initiative. This person will have visibility across property operations, lease processes, and internal systemsincluding light financial work and document preparation. Its an excellent opportunity to grow within a small, high-performing team that values reliability, detail, and collaboration.


Key Responsibilities:

  • Manage front desk activity including calls, guests, vendor coordination, and day-to-day correspondence
  • Support office operationscalendar management, scheduling, travel planning, office supply coordination
  • Assist with preparation and organization of financial documents, including invoices, expense tracking, and budget spreadsheets
  • Draft, organize, and maintain legal and leasing documents; support active real estate projects and property listings
  • Coordinate tenant maintenance needs, document flow, and internal process improvements including SOPs and IT/file system structure


Ideal Candidate:

  • Administrative or operational support experience, ideally in real estate, finance, or professional services
  • Strong attention to detail with proven skills in document handling and light financial tasks
  • Organized, tech-savvy, and highly adaptable with a self-starter attitude
  • Confident managing multiple priorities and deadlines in a fast-paced, dynamic setting
  • Bachelors degree required; valid drivers license and reliable transportation required
