Overview

The Receptionist provides exceptional service by greeting and assisting visitors and answering inbound calls. Maintains a professional image of the company by providing prompt, courteous, and efficient service. May be cross-trained to assist in other SPS service areas such as mail/shipping operations, hospitality, and general office/facilities work based on operational needs to provide a top-tier customer experience.

Main Functions
  • Primary function of reception/concierge: answer all calls/correspondences and provide an exceptional customer service experience for all incoming/outgoing visitors.
  • Light facilities/hospitality work: assist customers with opening troubleshooting tickets, help order supplies, stock kitchens/service areas with supplies, and set up/tear down conference rooms for meetings/events as needed.
  • Mail Service: assist mail services as needed, including sorting/distributing mail and receiving/tracking packages.
Duties and Responsibilities
  • Provide 5-star customer service to all employees and visitors in all forms of communication.
  • Answer and route incoming telephone calls to the appropriate person.
  • Ensure visitors complete, sign, and understand NDA responsibilities.
  • Log visitors into the registration system and activate temporary badges as needed.
  • Issue facility access cards to employees and manage access for those with badge issues.
  • Route calls appropriately, handling some confidential inquiries professionally and promptly.
  • Prioritize calls and escalate issues to the proper chain of command.
  • Maintain current phone and speed dial lists; train backups and provide guidance on policies and procedures.
  • Notify employees on inbound deliveries or direct deliveries to the Mail Room as appropriate.
  • Provide light administrative support (scheduling meeting rooms, ordering catering, assisting other teams with various tasks).
  • Recover loaned access cards and coordinate with Security as needed.
  • Build professional relationships with customers and other teams; maintain a neat reception area and replenish supplies.
  • Support barista/pantry/conference/kitchen areas and perform meeting room setups as required.
  • Monitor and replenish office supplies; assist with copy/print orders and equipment as needed.
  • Maintain professionalism and composure when interacting with callers/visitors.
  • Assess additional support needs for sensitive inquiries and provide back-of-house coverage as needed.
  • Proactively seek additional work during downtime and deliver strong client satisfaction.
Qualifications and Education Requirements
  • High School Diploma (or equivalent) required.
  • 1-3 years of prior work experience, preferably in administrative/reception/concierge roles.
  • Ability to work assigned hours determined by the manager.
  • Excellent organizational and time management skills; strong problem-solving abilities.
  • Strong written and verbal English communication skills; customer-service oriented.
  • Ability to multi-task, prioritize, and adapt to changes; maintain confidentiality.
  • Computer proficiency for systems used in SPS service areas (multi-phone line systems, PC/Mac, MS Office, copiers/scanners, fax/mail machines).
  • Professional appearance and attitude; adherence to policies and procedures.
Physical Demands
  • Ability to lift/move up to 40 lbs. and handle packages with a rolling cart (up to 60 lbs).
  • Ability to walk, bend, kneel, stand, and/or sit for extended periods; manual dexterity for office equipment.
