Position Overview

The Data Entry Specialist plays a vital role in maintaining the accuracy, organization, and integrity of client and administrative information within our systems. This position involves accurately entering, updating, and managing data to support both clinical and operational functions. The ideal candidate is detail-oriented, efficient, and able to manage confidential information with discretion while ensuring that all data processes adhere to company and HIPAA compliance standards.

Key Responsibilities

  • Enter and update client records, appointment details, billing data, and clinical documentation into electronic databases.
  • Verify the accuracy of information received from various sources before data entry.
  • Maintain organized and up-to-date records in compliance with privacy and data protection policies.
  • Conduct regular audits to identify and correct data inconsistencies or errors.
  • Prepare and generate reports as needed for internal departments and compliance reviews.
  • Support administrative and clinical staff by managing data-related requests and documentation.
  • Safeguard sensitive and confidential client information at all times.
  • Assist with file management, digital organization, and workflow improvements to enhance efficiency.

Qualifications
  • High school diploma or equivalent required; Associates degree preferred.
  • Proven experience in data entry, information management, or administrative support.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with data management or EHR systems.
  • Strong attention to detail and organizational skills.
  • Excellent typing accuracy and speed.
  • Ability to work independently with minimal supervision.
  • Strong problem-solving and communication skills.
  • Experience in a healthcare, counseling, or mental health setting is a plus.
