Full-time Hybrid Health Information Management Specialist

Job Summary: We seek a highly skilled and detail-oriented full-time health information management specialist (HIMS) who manages and maintains the accuracy, security, and privacy of patient health records and oversees data quality, ensuring compliance with legal and industry standards. The HIMS plays a crucial role in supporting the delivery of quality health care by ensuring patient information is complete, accurate, and accessible when needed. This position is hybrid, with one to two days in the office per week. As this is a hybrid position, the right individual must live in Pennsylvania, Maryland, Virginia, or Washington, D.C.

Key Responsibilities:

  1. Scheduling and Calendar Management:
    1. The primary responsibility is to manage and optimize the schedules of Ophthalmologists and Optometrists.
    2. This involves ensuring that appointments are appropriately distributed, avoiding scheduling conflicts, and ensuring efficient use of provider time.
  2. Maximizing Provider Efficiency:
    1. Ensuring providers are scheduled in a way that maximizes their available time and minimizes downtime while still meeting patient needs.
    2. This could involve optimizing the length of appointments, balancing different types of visits (e.g., routine exams, urgent visits), and integrating the schedules of multiple providers.
  3. Patient Scheduling:
    1. Working closely with patients to schedule and reschedule appointments while considering the provider's availability.
    2. Making sure patients' needs (e.g., emergency, duration) are met in a timely manner.
  4. Coordinating with Other Departments:
    1. Ensuring that the provider's schedule aligns with other departmental needs, such as administrative support, medical testing, and laboratory or imaging scheduling.
    2. Collaborating with other departments to coordinate resources, rooms, and equipment for specific appointments.
  5. Managing Cancellations and No-Shows:
    1. Developing strategies for managing cancellations, rescheduling appointments, and handling patient no-shows to optimize the schedule.
    2. Filling open time slots or adjusting schedules to maintain optimal efficiency.
  6. Utilizing Scheduling Software:
    1. Using healthcare scheduling software to streamline scheduling tasks and ensure the system is current.
    2. The software may integrate with Electronic Health Records (EHR) and Practice Management Systems (PMS) to ensure smooth data flow and avoid conflicts.
  7. Tracking and Reporting:
    1. Analyzing scheduling patterns and provider performance (e.g., appointment volume, patient wait times, provider productivity) to identify areas for improvement.
    2. Reporting scheduling metrics and performance to healthcare administration for data-driven decision-making.
  8. Patient Flow Optimization:
    1. Helping to optimize patient flow within the office by ensuring the right amount of time is allotted for each type of appointment.
    2. Reducing patient wait times and ensuring the clinic or office runs on schedule.


Skills & Qualifications:
  • Education: Associate's or Bachelor's degree in health information management, Health Informatics, or a related field (preferred or equivalent experience).
  • Experience: 2+ years of experience with EHR systems and medical coding or healthcare is required, preferably in ophthalmology (preferred or equivalent experience).
  • Certifications: RHIT (Registered Health Information Technician) or RHIA (Registered Health Information Administrator) certification is preferred (preferred or equivalent experience).
  • Attention to Detail & Accuracy - Strong analytical skills to avoid errors in the scheduling systems and ensure appointments are managed correctly.
  • Software Proficiency - Proficiency in scheduling systems, EHR, and related tools used in healthcare settings.
  • Confidentiality & Compliance - Understanding HIPAA, healthcare regulations, and data security.
  • Organizational & Time Management Skills - Ability to manage multiple scheduling processes simultaneously and ensure accuracy in provider scheduling.
  • Problem-solving Skills- Identifying and addressing scheduling conflicts, last-minute cancellations or urgent patient needs quickly and efficiently.
  • Communication: Strong verbal and written communication skills to interact with patients, providers, staff, and others.
  • Leadership & Teamwork - Working effectively with management, physicians, and administrative teams.
