The Opportunity
This is a high-impact Executive Assistant role supporting the Chief Investment Officer of a fast-growing, institutional real estate investment platform. The position is ideal for an elite administrative EA who has demonstrated exceptional judgment, ownership, and upward trajectory and is ready to grow into a strategic EA or executive partner role.
Objective
Provide high-level, confidential administrative and operational support to the Chief Investment Officer and, as needed, the Investment Management team. Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the CIO. Anticipate needs, manage priorities, and ensure seamless execution across scheduling, communications, investor support, and investment-related logistics. Exercise discretion, sound judgment, and independent problem-solving in a fast-paced, high-stakes environment.
Tasks and Responsibilities
Time Management and Scheduling:
- Conserves Chief Investment Officers time by reading, researching, and routing correspondence.
- Maintains Chief Investment Officers appointments schedule by planning and scheduling meetings, conferences, board meetings, teleconferences, registration, and travel.
- Maintains annual conference, event and travel calendar and all registration details
- Works closely and effectively with the Chief Investment Officer to keep him well informed of upcoming commitments and responsibilities; ensures that he follows up appropriately.
Correspondence and Document Preparation:
- Collect and analyze information to effectively drafts documentation and correspondence on behalf of the Chief Investment Officer.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Chief Investment Officer, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Supports international travel needs including but not limited to flights, hotels, and meeting trackers.
- Coordinate offsite printing and preparation of investor and corporate marketing for Executive Team meetings, conferences, and events. This includes presentations, agendas, name tents, and badges. In addition, assist with onsite logistics for items such as transportation, menus, floral arrangements, and other details.
- Aid in ad hoc updates to external corporate marketing and public relation materials.
- Assist with the ongoing maintenance of the Juniper Square Customer Relationship Management (CRM) platform, including adding, updating and managing partner contact records to ensure accurate and current data.
- Completes Chief Investment Officers and Investment Management teams expense reports monthly and/or assigned.
- Event Planning and associated budget management.
Communication and Interpersonal Skills:
- Provides a bridge for smooth communication between the Chief Investment Officers office and internal departments, demonstrating leadership to maintain credibility, trust, and support with Senior Leadership.
- Anticipates the communication needs of the Chief Investment Officer and takes the initiative to proactively communicate essential information and updates.
- Acts as a liaison between the Chief Investment Officer and internal departments to ensure effective and efficient communication flow.
- Demonstrates strong interpersonal and communication skills to build and maintain positive relationships with internal colleagues and external relationships.
Abilities/Qualifications
- 5 to 10 or more years supporting senior executives; finance, private equity, real estate, or consulting strongly preferred.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Strong interpersonal skills and the ability to build relationships with internal and external partners.
- Expert level written and verbal communication skills; produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, registration, and travel.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Emotional intelligence and maturity.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

Compensation Range
The salary range for the role is $90,000 - $100,000K. Position is eligible for a discretionary bonus.
