Job Description

We are seeking a professional and detail-oriented Administrative Assistant / Intake Specialist to join our law firm. This position is ideal for someone who enjoys client interaction, is highly organized, and can manage both administrative duties and initial client intake responsibilities. The ideal candidate is dependable, compassionate, and able to handle sensitive information with professionalism and confidentiality.

Key Responsibilities

  • Answer and screen incoming calls in a professional and courteous manner
  • Conduct initial client intake interviews and gather relevant case information
  • Draft engagement letters
  • Enter and update client information in case management systems
  • Prepare, organize, and file legal documents (physical and electronic)
  • Follow up with potential and existing clients regarding documentation
  • Maintain organized client files and records
  • Assist with mail, scanning, copying, and general office tasks
  • Provide administrative support to attorneys and legal staff

Qualifications

  • High School diploma required; bachelor's degree is a plus.
  • Strong communication and customer service skills
  • Professional demeanor and ability to build rapport with clients
  • Excellent organizational and time-management abilities
  • Basic computer proficiency (Microsoft Word, Outlook, email, and data entry)
  • Attention to detail and ability to handle confidential information responsibly
  • Ability to multitask and work in a fast-paced xywuqvp environment
  • Prior law firm, intake, call center, or office experience preferred but not required

Preferred (Not Required)

  • Experience with legal case management software (Clio)
  • Bilingual (Spanish/English) is a plus
